New Features in Outlook and Outlook Web App

Migrating to Exchange Online introduces several new features and enhancements in both the Outlook desktop application and the Outlook Web App. These improvements are designed to enhance your productivity, collaboration, and overall email experience.


Join Button for Microsoft Teams Meetings

  • Outlook Desktop: The calendar now includes a "Join" button directly in the meeting invite, making it easier to join Microsoft Teams meetings with a single click.

  • Outlook Web App: Similarly, the web version integrates the "Join" button, allowing users to join Teams meetings seamlessly from their browser.

Improved Search Functionality

  • Enhanced Search: Both Outlook and Outlook Web App now feature a more powerful search bar. This allows for faster and more accurate searches across your emails, calendar, contacts, and even files within your email.

  • Suggested Results: The search function offers suggested results and top hits as you type, making it easier to find what you need quickly.

Focused Inbox

  • Focused and Other Tabs: Outlook now automatically separates your inbox into two tabs—Focused and Other. The Focused tab contains your most important emails, while the Other tab contains the rest.

  • Customizable: Users can easily move emails between tabs and customize the experience based on their preferences.

  • Please note this feature is set to OFF by default.

Integration with Microsoft 365 Apps

  • Unified Experience: Outlook integrates seamlessly with other Microsoft 365 apps such as OneDrive, SharePoint, and Teams. This integration allows for easy sharing of files and collaboration within emails.

  • Quick Actions: Directly from your inbox, you can access quick actions like scheduling meetings in Teams or sharing files from OneDrive.

Mobile Experience

  • Outlook Mobile App: Enhanced features in the Outlook mobile app include the ability to manage calendar events, set up Teams meetings, and use swipe gestures for quick email actions.

  • Syncing: Improved syncing ensures that your email, calendar, and contacts are always up-to-date across all devices.

Security and Compliance Enhancements

  • Advanced Threat Protection (ATP): Exchange Online provides ATP features to help protect against phishing attacks, malware, and other threats.

  • Data Loss Prevention (DLP): DLP policies help protect sensitive information and prevent accidental sharing of confidential data.

  • Multi-Factor Authentication (MFA): MFA adds an extra layer of security, requiring users to verify their identity with a second factor, such as a phone call or mobile app notification.

New User Interface and Customization

  • Modern User Interface: Both the desktop and web versions of Outlook feature a modern, intuitive interface with customizable options.

  • Theme and Layout Options: Users can personalize their Outlook experience with different themes, dark mode, and customizable layout options.
