How to link a Sharepoint Document Library with OneDrive and Windows Explorer
How to link a Sharepoint Document Library with OneDrive and Windows Explorer
Notes
This article is for Sharepoint Online only.
At the moment of this article, RRU's Sharepoint Online site URL has this structure:
https://<sub-domain>.sharepoint.com/<site-structure>- This article assumes that you already have access to the document library you want to link.
- It also assumes that, in your local computer, you have the OneDrive app installed and you can see an entry for OneDrive in the left-side menu of your Windows Explorer (see below).
Steps
- Navigate to the Sharepoint site and to the document library in that Sharepoint site.
If you want to link the whole document library, it should be visible in the left-side menu (see image below)
If you want to link to a specific sub-folders within a document library, simply navigate to that sub-folder. - Click on "Add shortcut to OneDrive" (see highlighted item above). A box should appear on the screen indicating that the shortcut has been added (see below).
- The Sharepoint document library you selected will appear in your Windows Explorer under "OneDrive". It will have an extra icon that looks like a chain link (highlighted below).
IMPORTANT: if you add a shortcut to a parent folder in Sharepoint, you will not be able to add a second one to one of its sub-folders. If you try, you will get a different message from the one above. It will say "1 shortcut wasn't added".
A few notes
- You should now be able to use this shortcut on any application that opens a dialog box of Windows Explorer (for example, when trying to download and/or upload a file).
- This is a shortcut, i.e., any actions you take on a document here, it is as if you are doing it in the sharepoint library itself. Be cautious.
- In the highlighted item above ("Documents - TI Services"), "Documents" refers to the name of the library (folder) that is being linked (in this case the root folder, or all documents), and "IT Serices" refers to the name of the Sharepoint site where the document library exists.
- You can also remove a shortcode. In Windows Explorer, right-click on the entry of the shortcut you want to remove and select "Remove Shortcut". Please note that it might take some time for OneDrive to perform the removal.
