Welcome to RRU!

We are here to help you succeed in your studies by explaining the differences in the accounts you’ll use to access RRU resources.

If you have questions at any time, contact Computer Services using the information at the bottom of this page.

Tip
We recommend you open the pages linked below in a new tab to preserve your location on this document. Right-click on each link to do that.

(Must read!) RRU Computer Account

image-20240620-195555.png

As a student, you have one RRU computer account username. As you move through the stages of the application process, become a student, and then graduate, you will gain and lose access to resources depending on what is appropriate at any given time.

You may be required to enter your account username differently depending on the system you’re using.

MyAdmin account

Academic Account

Applicant

An applicant (or a representing agent) creates a MyAdmin account to begin the application process.

You log into this account using your personal email address and the password you set up.

New applicants

Students in non-credit programs / courses

Alumni

(Your MyAdmin exists forever)

Domestic Students

Once you’ve submitted your application, we’ll send you an email saying we’ve created an Academic Account for you and ask you to set up a password.

  • You will use this Academic Account username to access resources, including those related to continuing your application if applicable.

  • Your Academic Account username will look like this: csmith@royalroads.ca (it looks like an email address but it is not)

  • When accessing RRU resources, you may be required to enter the Academic Account username just like that or you may be required to drop the “@royalroads.ca” part and use only “csmith”. This is dependent on the application. Watch for prompts to guide you.

(Academic Accounts are not created for international students at this time)

Students in a credit program

Domestic Students

When you’ve accepted a set in a credit program, we’ll set up an RRU email address, which you’ll keep for the duration of your program.

  • Your email address will look like this: cindy.smith@royalroads.ca. You’ll notice that it looks similar to the Academic Account username above, except that your first name is spelled out and there’s a dot between your names.

International students

Once you’ve accepted a seat in a credit program, we’ll send you an email letting you know that we’ve created an Academic Account for you and ask you to set up a password.

At the same time, we’ll let you know that you have an RRU email address, which you’ll keep for the duration of your credit program.

  • Your email address will look like this: cindy.smith@royalroads.ca. You’ll notice that it looks similar to the Academic Account username above, except that your first name is spelled out and there’s a dot between your names.

Domestic Students

  • To apply to RRU for the first time, create a ‘MyAdmin’ account using a personal email address and a password of your choosing. You’ll use this account for the first portion of the application process.

  • Once the process has begun, you’ll receive a notice that we’ve created an Academic Account (computer account) for you and we’ll ask you to set up a password. You can use this account to access all resources as you continue the application process and begin your studies whether you’re taking non-credit courses through Professional and Continuing Studies or in your credit program. Although, this Academic Account username looks like an email address, it is not.

  • Once you have accepted an offer of a seat in a credit program, we’ll create an RRU email address for you and send you an email message letting you know we’ve done that. From now on, all official RRU communications will go to this email address. This also means that your UPN account now works across all systems. ⁉️

International Students

  • You or an agent will create your MyAdmin account. This is your only account unless you independently investigate non-credit courses through the Professional and Continuing Studies course offerings, and in that process, register for an Academic Account.

  • Once you have accepted an offer of a seat in a credit program, we’ll send an email message letting you know we’ve created an Academic Account and RRU email address for you. We’ll ask you to activate your account, which involves choosing a password. From now on, all official RRU communications will go to this email address.

  • Depending on your mail provider, this message may go into your junk folder. If you believe you should have received this message and cannot find it in your junk folders, please contact Computer Services using one of the methods at the bottom of this page. ⁉️

For both

  • Please note that 2 weeks after your scheduled convocation, your account account is closed, and you only have access to the PCS Student Portal.

What is a MyAdmin vs SAM (Academic Account) vs UPN vs Email account

MyAdmin Account - This account is completely separate. You will always be able to log into this account with your personal email address and whatever passphrase you setup when you applied. This account never expires.

  • You can find the MyAdmin Site at https://myadmin.royalroads.ca/

  • You can pay bills, order transcripts, view grades, order a bus pass, upload documents, manage your email forwarding and update your personal email address

  • Active as soon as you apply

SAM (also called the Academic Account - Looks like d4brown) - this is the username consisting of your preferred name + last name (and possibly a number) - Used on sites like:

UPN (or User Principal Name - Look like d4brown@royalroads.ca) - this is your SAM account with @royalroads.ca added to it. This makes the UPN look like an email address, but it is not used in this way. It is the SAME password as the SAM account above. It is used to log into sites like:

Email Address (looks like Douglas.4Brown@royalroads.ca) - This is your full name (and possibly a number). With very few exceptions, you rarely ever really use this email address to log in.

How will I know which username format to use?

In most cases we try to given an example on the username you should be using however the simple rules is, if the site is a Microsoft managed site with a login that looks like this, you should be using your UPN.

image-20240618-030429.png

All others use your SAM unless otherwise directed.

Your initial passphrase

You created your account passphrase when you applied. It would have been 12-15 characters minimum and we would have suggested you used a “phrase”.

How can I reset my passphrase?

If you cannot remember your passphrase is, you can reset your passphrase on our web site here.

You MUST know your student ID number. If you don't know your student ID number, you will need to contact the registrar's office at 1-800-788-8028 x4862. The student number is also on all receipts your received from Royal Roads.

Click for bonus info: How did we come up with your username and email address.
  1. The username is created using the first initial of your Preferred Name + your last name.
(IE. Student name Douglas Brown becomes dbrown.)

  2. If the username dbrown has been used previously, then the last name is preceded with a number.  Therefore the system will check the availability of d1brown.  If that is taken, it increments upward until the system finds an unused username (IE. d4brown).

Second the email address is generated based on the username.

  1. Using the example above, Douglas Brown, username d4brown, will get an email address of Douglas.4Brown @ Royalroads.ca.

We cannot changed the name except in very specific circumstances. This includes legal name change or of the username is offensive. If the username is offensive, then the username is incremented by 1 number.

Access your RRU Email

All RRU official correspondence is sent to your RRU email account. There are a few ways to access your RRU email account. (a couple methods require a mobile device)

image-20240620-195911.png

Email forwarding (default) - All RRU email is forwarded directly to your personal email account. There is no copy anywhere else so there is no need to access your RRU webmail. You can manage your forwarding on the MyAdmin site. If you want to turn forwarding off, please make sure you can log into Webmail first (addressed below).

Mobile device - You can setup your email account on a mobile device using the default mail application or using your own email software. You can find instructions to setup this account here. (Forwarding must be turned off to get email on your mobile device)

Webmail access - In order to access this webmail account you must first setup MFA. Once you have MFA setup, you can now log into RRU Webmail
