Terms of Service Agreement
SurveyMonkey

The SurveyMonkey service (“SurveyMonkey”) at Royal Roads University is provided in support of teaching, learning, research, and administration. This service agreement (“Agreement”) describes the terms under which staff, faculty, and students may access and use the SurveyMonkey service ("Terms of Service").

To become a user of the Royal Roads University SurveyMonkey service, first you must read and accept in entirety the Terms of this Service Agreement.  If you do not agree to all terms of this Agreement, you will not be eligible to use or access Royal Roads University’s SurveyMonkey service.  Using SurveyMonkey for commercial or personal purposes, to collect credit card, bank account, or similar financial information is prohibited.

Royal Roads University reserves the right to change this Agreement at any time without prior notice. Your continued use of SurveyMonkey indicates your acceptance of the amended Agreement.

Survey Creation and FIPPA

It is the responsibility of all survey owners to ensure that information that is collected, used, or disclosed is done so in accordance with the university’s obligations under the Freedom of Information and Protection of Privacy Act, RSBC 1996, c 165 (“FIPPA”).

Survey administrators agree to never collect any unnecessary information from survey respondents than is necessary to reach the project/activity goals in which the survey is in support of. Information collected in a survey must only be used for the purposes in which it was collected for, or for a purpose that is consistent with or substantially similar to the original purpose in which it was collected. Information collected in the survey should only be shared internal to the university on a need-to-know basis.

Collection of personal information by Royal Roads University is governed by FIPPA.  If personal information is to be collected in a survey, FIPPA requires that you provide survey respondents with notice using the following template:

Your personal information is collected under the authority of the Freedom of Information and Protection of Privacy Act, RSBC 1996, c 165 (“FIPPA”). This information will be used for [insert purpose statement behind your survey]. Questions about the collection of this information may be directed to [include an email address for a responsible party collaborating on the survey].

You may not make the disclosure of personal information to SurveyMonkey a requirement for participation in University-related activities, except as permitted by FIPPA.

Information Disclosure

By using SurveyMonkey, you agree to make your name, title, and work email address available to SurveyMonkey administrators, who are located in U.S.A, for support and system administration.

You should not add or share personal or private information about yourself that you do not wish others to see.

Any third parties’ personal information that you publish must already be publically available or you must have written consent from the individual prior to publishing the survey.

Survey questions and responses (“Survey Data”) will only be stored in Canada. SurveyMonkey employees and subcontractors (“Customer Support Staff”) will not access the Survey Data from outside Canada, except :

  1. When authorized by the Customer for the purpose of implementing, maintaining, repairing, troubleshooting or upgrading the customer’s account or SurveyMonkey.
  2. For data recovery purposes in the event of a system failure. SurveyMonkey Customer Support Staff will only ask for authorization to access the Survey Data as a last resort, after exploring every reasonable alternative. After receiving such authorization, SurveyMonkey Customer Support Staff will only access the amount of Survey Data as required to perform the Customer Support Services, and will limit the period of access to the minimum time necessary.

Research

If your intention is to use the Royal Roads University SurveyMonkey service to collect personal information for the purpose of research, you may be required to seek approval from the Research Ethics Board before proceeding.

Access

SurveyMonkey is available only to current Royal Roads University employees and students with an active CAMP account.  Upon leaving Royal Roads University, access to your SurveyMonkey account will be removed.

Support

Support for the Royal Roads University SurveyMonkey service is provided by SurveyMonkey customer support and Royal Roads University Helpdesk. Issues related to user access or integrations with other Royal Roads services will be handled by the helpdesk.  Issues related to functionality or usability of the SurveyMonkey platform will be handled by SurveyMonkey customer support.  The customer will handle their own communication with SurveyMonkey.

Copyright Obligations

Any use of the Royal Roads University SurveyMonkey Service must comply with the Canadian Copyright Act and guidelines.  The vast majority of text, images, audio, video, and other information created by a third party, including media obtained from the internet, is subject to copyright protection. When posting copyrighted content you must comply with the various conditions imposed by the media’s copyright holder(s).  Any questions or concerns about intellectual property should be directed to the Copyright Officer.

 

SurveyMonkey

The SurveyMonkey Service is provided by SurveyMonkey Inc. and use of the SurveyMonkey Service at Royal Roads University is subject to the Services Agreement, Terms of Service, and Privacy Policy of SurveyMonkey. These documents may change without notice from Royal Roads University or SurveyMonkey Inc.

Disclaimer

Access to SurveyMonkey may be unavailable temporarily and without notice due to:

a)      System failure

b)      Maintenance or repair

c)       For reasons beyond the control of Royal Roads University

The SurveyMonkey pages may contain links to other websites outside the control of Royal Roads University.   Royal Roads University is not responsible for the content of these sites.  Royal Roads University provides no guarantee on the availability of content linked within the SurveyMonkey Service. References and links to any website must not be taken as an endorsement by Royal Roads University. Content posted within the SurveyMonkey service must not be taken or presented as an endorsement by Royal Roads University.
