Email Setup for iPhone or iPad

Use this setup if you wish to receive your RRU e-mail using your iPhone or iPad.  Although these instructions are intended for iPhone/iPad users, the information is similar for all smart phone devices. 

Special note to students

By default access to this services is disabled for students so please contact Computer Services by phone, email or Online Request Form to activate this service.

Shared Mailbox not available remotely

Please note that shared mailbox are not available remotely through mail apps. To access a shared mailbox while off campus, please use Webmail (students/staff/faculty) or Sentinel (staff/faculty only) .

A few things to note before you proceed:

You will need to know the following information:

  • Your Academic Account Username (the username you use to log into Moodle)
  • Your Academic Account Password (the password you use to log into Moodle)
  • Your RRU Email Address

If you are not sure of this information, please contact Computer Services.  During regular business hours, please contact Computer Services by phone otherwise, you can contact us by email or Online Request Form.

Configuration Procedure for Default Email application

  1. Turn forwarding OFF
  2. On your iPhone, click on the Settings icon
  3. Select Mail → Accounts
  4. Click on Add Account...
  5. Select Microsoft Exchange
  6. Enter the following information
    • Email is your RRU Email account (firstname.lastname@royalroads.ca.  Please note that if your RRU username has a number in it that your email address will be firstname.#lastname@royalroads.ca)
    • Description can be anything, I suggest RRU Email
    • Click Next
  7. When prompted, Choose Sign in
  8. The password field should appear.  Enter your regular RRU password that you use to log into Moodle, click Next
  9. New Fields will appear, enter the  following additional information:
    • Server is Webmail.royalroads.ca
    • Domain is Instructional
    • Username is your regular RRU username (no @royalroads.ca) you use to log into Moodle
    • Password is your regular RRU password you use to log into Moodle
  10. Click Next to continue
  11. After verification, you will see a list of items that are available to you to sync.  Please choose Mail, Contacts and Calendars only. Please note that due to the large number of RRU contacts, you will be able to search the contacts only.  They will NOT be added to your contact list.
  12. Click on Save
  13. Close Settings and open your email

You should now be able to open up your mail application and view your RRU email.  Please allow 10-15 seconds before the email starts downloading and it can take a few minutes for everything to download depending on the quantity of emails.  If you have just turned off forwarding then you will probably have no emails at all.  Send a test message from another account to make sure it is working.  

A few things to be aware of

  • Please note that the default to sync is 1 month of emails
  • If you have multiple mailboxes, you can switch mailboxes by clicking on the upper left icon while viewing your mail.  This will allow you to view all your mailboxes, or each mailbox individually.
  • Please note that if you delete a message on your iPhone/iPad, it will be deleted from your RRU mailbox.  You will find the messages in your deleted items.
  • Because forwarding has been turned off, Students are now subject to the 60mb limit for email storage and staff are subject to the 160mb limit.  Please manage your email accordingly.

Adjust notifications on your phone?

You can setup your phone to provide notifications (or turn them off) to your preference.

  • Click on Settings icon
  • Click on Notifications → Mail
  • If you want notifications, make sure "allow notifications" is on
  • Now select the email you just setup for RRU\
  • If you want notifications, make sure that "allow notifications" is also on here as well
  • Now you have options on what types of notifications you want.  These are all standard for most apps, but here is a brief description
    • The first Alerts section are options on where you want the notifications to appear. 
    • If you select banners then a new option appears on how long you want to see the banner
    • Sounds allows you to setup a specific tone for your RRU email
    • Badges is whether it shows a tiny number on your app icon to indicate how many unread messages you have.  
    • You can also Allow it to Show Previews if you want.  This gives you a few lines on what the email is about


Let me tell you that as as student it can be stressful enough.  When things get busy some of these settings can cause additional stress (nothing like seeing 22 unread messages every time you open your phone).  So try it out but remember where to go to turn it off if it gets to overwhelming.
