This information is intended for Staff/Faculty.  Students can student-oriented information on this page.

Student questions:

Why is my Grades link missing?

Sometimes the Grades link is disabled on purpose so they should contact their instructor.  If the instructor needs assistance, open a ticket to CTET or give them the following instructions:

  • Under Settings click on the Edit Settings link
  • Make sure Show gradebook to students is Yes

I can't see my grades?

Please note that in the course, "Course total" must not be hidden (please see the close eye icon below, meaning that this is hidden or open eye meaning it is not) in the Gradebook ("Categories and items" tab).

Inform the instructor if it is hidden or open ticket for CTET.

Any other issue with Grades need to be directed to Registrar.  If a student contacts CS, we contact Registrar ourselves.

My instructor says that the grades were submitted but I still don't see them in the Statement of Grades.

Any issues with Grade Approver need to be directed to Registrar.  If a student contacts CS, contact Registrar ourselves.

The Instructors are the ones that start the process by  entering grades into drop boxes and clicking on the "finished grading" button in Moodle.   Once submitted, a grade approver will be alerted and required to approve course grades.  Once approved, they are automatically imported into Agresso (every week day between 8:05am and 8:30am).  Please note that once approved, the grades will be available through the Statement of Grades to the students the following day.  The whole process could take a number of days. 

You can confirm the grades were actually submitted

  • Log in as the instructor
  • Go to the grades page
  • Click on the Turn editing on button (top right)
  • If the Submit grades button is not grey and says Grades submitted the instructor has done their job
  • If the button is grey and now says Grades in ASW then the grades will appear withing 24 hours.

If Registrar determines this is a technical issue, they will contact Computer Services and have a ticket created. 

Staff questions about Grades & Grade Approver:

I've been refreshing the following page for 2 days and I still can't get in to approve the grades. Any idea what's holding it up?

Any issues with the grade approver need to be directed to Registrar.

The instructors probably has not clicked on the "finished grading" button.  They must finish grading and click the button before the approver can review and approve the grades.

I have submitted my grades, but I did not receive a confirmation reply

Any issues with the grade approver need to be directed to Registrar.

  • This means there could be a problem and the grades were not submitted
  • You can confirm the grades were actually submitted:
    • Log in as the instructor
    • Go to the grades page
    • Click on the Turn editing on button (top right)
    • If the Submit grades button is not grey and says Grades submitted the instructor has done their job
    • If the button is grey and now says Grades in ASW then the grades will appear within 24 hours after approved.
  • There must be grades for all learners before any grades can be submitted. They always submit an INC for the missing student(s) if there is some problem with their grade at this point. If they have a special circumstance (withdraw, EG etc), also enter an INC and let the reg office know - they will manually change it
  • Sometimes the LSA is given the student role, but they don't have grades.  So they need to be removed from the Student Role before the grades can be submitted.

I need to change a grade? (Instructor)

Before grades have been submitted - The instructor can make the change directly in the grade area. Please see above for other assistance.  Open a ticket for CTET if they are having difficulties changing a grade.

After the grades have been submitted but before they have been approved - The instructor should contact the Grade Approver and ask them to reject the grades.  This will return the authority to the instructor and the instructor can now change the grade and re-submit them.

After the grades have been submitted and approved - The program areas cannot update grades once they have been approved.  So, when a grade needs to be changed (wrong grade, EG or INC) they need to contact the registrar directly with the grade and it will be entered manually. 

I want to change the grade approver for a course/program

Please contact the registrar's office as they handle adding and changing Grade Approvers.  (This is managed through Agresso)

I Can’t seem to find the submit grades button in this course. (Instructor/Program Associate)

Every course has an end date.  The button will not appear before the end date listed in Agresso, even if all the grades are entered.

Procedure to submit grades for approval:

  • Go to the gradebook in your online course by clicking Grades under Course administration on the left menu
  • If you see a warning telling you that you need to Turn Editing On, The button is in the top right.
  • Select the RRU Grader report tab
  • Click "finished grading" button. (The button will appear the day after the course end date)
  • There will be confirmation that they were submitted and the approver will also be notified by email
  • Also the "submit grades" button is now disabled and says Grades submitted.

In one case, the issue was that there was a space at the beginning of the course ID. Once the space was removed, and cron ran, the finished grading button appeared.

How do I enter a half grade? (Instructor)

  • Go to the gradebook in your online course by clicking Grades under Course administration on the left menu
  • Turn Editing on
  • Type in whatever you want (decimal places)
  • Click update
